Terms & Conditions

Please read all these sections carefully, as you will accept them on the application as being read and understood. These are all items to which you agree when you sign up for one of our workshops. On the application, there is a reminder to carefully read all of them. For purposes of simplicity, our company, Barefoot Contessa Photo Adventures, LLC, will be referred to as BCPA in this document.

Payment Terms

  • Deposit  usually 25% of total workshop price is due with the application. To reserve a place, make payment by PayPal or send a check or money order in USD (US dollars) for the deposit and any additional installments due at the time of the application, made out to Barefoot Contessa Photo Adventures or BCPA. PayPal deposits are due the same day as the application, while checks must be received within one week of completing this application. Be sure to print your name and workshop title on your check.
  • 2nd installment  usually 50% of total workshop price due four months before start date. Exceptions are for all-inclusive workshops and are noted in the information for them, as there may be interim installments.
  • Final Payment Balance  balance due two months before start date. Exceptions are for all-inclusive workshops and are noted in the information for them.
  • Returned Checks  There will be a $50 fee for any check returned for insufficient funds.
  • Early-bird Special  Use the Association rate and pay the full amount by check within a week of submitting your application, and at least four months before start date. Exceptions are for all-inclusive workshops and are noted in the information for them.
  • Discounts may not be combined.

Refunds will be made according to the following schedule:

  1. These days,we cannot stress enough the importance of Travel insurance. Barefoot Contessa Photo Adventures is a small company that cannot be held liable for those who choose not to buy travel insurance to ensure protections against any unforeseeable events. While the COVID-19 pandemic has caused reductions in some travel insurance coverage, Allianz has decided to cover it in many of their policies. Sharon Erickson, our trusty travel agent, can help you with all that. And, no, we do not get any credit for referring you to her, only a thank you!
  2. Full refund in the event that BCPA deems it necessary to cancel the workshop; the participant(s), in turn, will acknowledge that as full and final settlement. Please note that we have yet to cancel a workshop! We would rather have one happy customer than one disgruntled one. Participants may opt to put monies paid toward another workshop within 13 months of start of cancelled workshop.
  3. Refund Schedule for Written & Acknowledged Cancellation by Participant:
    • 121 days or more or more prior to workshop start date — Full refund of workshop fee less $200 for cancellations received in writing. Exceptions are noted for all-inclusive workshops.
    • 91-120 days prior to workshop start date — Refund less 25% or $200, whichever is the greater amount, for cancellations received in writing. Exceptions are noted for all-inclusive workshops.
    • 90 or fewer days prior to workshop start date — No refunds.
    • All-inclusive Workshops cannot be refunded, as we can neither absorb the cost nor recoup the hours of planning involved in an all-inclusive workshop.

Releases

You are responsible for confirming that your health insurance covers medical care that you may need while traveling, including medical evacuation, or for acquiring a supplemental travel health insurance policy that does. By registering for a workshop, you agree that you accept this responsibility. Also, note that it is wise to carry insurance for camera equipment taken out of your place of residence. Overseas insurance may need a special rider.

BCPA cannot be responsible for any outside costs you may have incurred or arrangements you may have made connected to the trip, such as passport fees, house sitter deposits, equipment rental deposits, additional insurance fees, etc., no matter the circumstances of a cancellation by you or a cancellation of the entire trip by BCPA.

Please carefully read these terms and conditions carefully, as you will accept them on the application as being read and understood. We are delighted that you will be joining us as a participant in one of our workshops. BCPA reserves the right to use the images you make in our workshops or images BCPA makes of "Students in Action" for PR purposes, but not to make money off them, as third-party rights are never granted by BCPA to other parties. Any photographs we use will contain your copyright notice as you entered it into your image's metadata.

As with any outdoor endeavor (or indoor one, for that matter), there is always an element of risk. If you have a guest, a shortened version is in the second section below. Thank you.
As a participant, I hereby certify:
  1. That the BCPA application has been completed without misrepresentations;
  2. That I am in good health and able to actively participate in a BCPA photo workshop of this nature and that I am completely aware of any associated risks created by field locations and weather.
  3. That I am fully vaccinated against COVID-19 with a CDC-approved vaccine and have CDC proof of same;< /li>
  4. That I have carefully read and accept the BCPA COVID-19 Declaration;
  5. That I pledge to follow the BCPA instructors' and staff's directions both overall and daily, in matters of:  
    • Safety of the group that overrides personal wants;
    • Dangers and signs of dehydration, hypothermia, altitude sickness, and exhaustion;
    • Importance of hydration and nutritious snacks;
    • Leave No Trace;
    • Respect for the environment, biological soil, and other sensitive and fragile elements of areas in which we photograph;
    • Need for sunscreen and bug dope;
    • Danger of overhangs, footing, and other local concerns;
    • Common-sense safety;
    • Respect for others; and
    • Strict adherence to the laws, policies, and customs of the places in which we are guests.
  6. That I have read and accept the BCPA payment terms and refunds schedule; and
  7. That I acknowledge the right of BCPA to change arrangements should conditions necessitate or to cancel any aspect of the workshop due to exceptional circumstances — meeting times, meeting places, and itinerary are subject to changes dictated by the weather, road conditions and other imponderable variables that are part of doing any location workshop.
  8. That because of inconsistent cell service in many of our locations, BCPA instructors’ cell phones may not work; I am responsible for being at the meeting place at the designated time and have all my photographic equipment with me.
  9. That there is always an element of risk in any adventure associated with the outdoors.
  10. That I release BCPA , its principals, instructors, guides, and any cooperating agent(s) from any liability for any act, error, omission, injury, loss of personal property or expense(s), delay, mishap, or damage to persons or property arising from any cause during the course of the workshop or in transit to, from, and during the workshop.
  11. That I acknowledge that BCPA has strongly advised me to buy Travel Insurance to guard against unforeseen events and has provided me with a link to do so.
  12. Finally, I acknowledge that BCPA has the right to refuse service to anyone at anytime and that workshop policies are subject to change at any time.
For our guests, we are delighted that you are joining us. As with any outdoor endeavor (or indoor one, for that matter), there is always an element of risk. Because you will be traveling with us, we ask that you sign this release, a shortened version of the one your spouse/SO/friend signed. Thank you.
As a participant's guest, I hereby certify:
  1. That I am in good health and able to actively participate in excursions in a BCPA workshop of this nature and that I am completely aware of any associated risks created by field locations and weather;
  2. That I have carefully read and accept the BCPA COVID-19 Declaration;
  3. That I pledge to follow the BCPA instructors' and staff's directions, particularly in matters of personal and group safety, including but not limited to, importance of hydration, need for nutritious snacks, altitude sickness, exhaustion, Leave No Trace, sunscreen, bug dope, danger of overhangs, footing, common-sense safety, respect for others, etc.;
  4. That out of respect for the paying BCPA participants, I will not bring anything larger than a cell phone or pocket (and we do mean pocket) camera, and I will not photograph while the group is photographing; the exception is photographing our participants while they are in the workshop for our "Students in Action" galleries.
  5. That I will remain aware and respectful of the paying BCPA participants whose workshop this is, and I will anticipate where they are going in order to stay out of their camera’s line of vision;
  6. That I acknowledge the right of BCPA to change arrangements should conditions necessitate or to cancel any aspect of the workshop due to exceptional circumstances; meeting times, meeting places, and itinerary are subject to changes dictated by the weather, road conditions and other imponderable variables that are part of doing any location workshop;
  7. That because of inconsistent cell service in many of our locations, BCPA instructors’ cell phones may not work; I am responsible for being at the meeting place at the designated time whenever I wish to join the group (which we hope will be often);
  8. That there is always an element of risk in any adventure associated with the outdoors; That I release BCPA, its principals, instructors, guides, and any cooperating agent(s) from any liability for any act, error, omission, injury, loss of personal property or expense(s), delay, mishap, or damage to persons or property arising from any cause during the course of the workshop or in transit to and from the workshop; and
  9. Finally, I acknowledge that BCPA has the right to refuse service to anyone at any time and that workshop policies are subject to change at any time.
I am 18 years or older and have carefully read, understand, and accept all of the above. Minors must have a legal guardian represent them.
